Personal Assistant (Administrative Level)


JOB SUMMARY:

Job Responsibilities
- Acting as a first point of contact for internal and external constituencies on all matters
- pertaining to the senior manager: screening phone calls, enquiries and requests, and
handling them when appropriate.
- Liaising with clients, suppliers and other staff.
- Fulfilling administrative tasks including: assisting with assigned projects, reports,
presentations, preparing meeting agendas, collecting and preparing information for
meetings with staff and outside parties, managing diaries and reminding of important
tasks and deadlines composing and preparing correspondence, maintaining contact lists,
typing, compiling and preparing reports, presentations and correspondence.
- Arranging travel and accommodation, and occasionally travelling with the manager to
take notes or dictation at meetings or to provide general assistance during presentations
- Conducting research on behalf of the manager such as carrying out background research
and project findings, and presenting findings.
- Organizing and attending meetings, events and conferences as a manager’s
representative, or ensuring the manager is well prepared for meetings
- Deputizing for the manager, making decisions and delegating work to others in the
manager's absence
- Collating and filing expenses.
- Involving in internal meetings discussion
- Other projects/duties as assigned for the overall benefit of the organization
Job Requirements
- Associate/bachelor degree: Phycology, Business Management, Business Communication, - - Human Resource Management, Marketing, English Literature or Hospitality
- Traits: attention to detail with good communication, interpersonal, multi-tasking and time
management skills.
- Language: English or Chinese (communicative level in 4 skills)
- Computer Skill: Word, Excel and PowerPoint.
- Working hours: flexible (expected to work on some weekends and public holidays)
- Travel: open to travel to provinces or aboard
